Welcome to Big Mat Fleet Flow ("we," "our," "us"), a service provided by Big Mat Rolling. We are committed to protecting your privacy. This policy applies to all user roles within the App, including Administrators, Drivers, and Lessees.

We may collect information about you in a variety of ways. The information we may collect via the App depends on the content and materials you use, and includes:

Personal Data

Personally identifiable information, such as your name, email address, and telephone number, that you voluntarily give to us when you register with the App. As an Admin, you may also provide this information on behalf of Drivers and Lessees you onboard into the system.

Location Data (for Drivers)

For users in the "Driver" role, we may request access or permission to and track location-based information from your mobile device, either continuously or while you are using the App, to provide location-based services (such as live map tracking for active dispatches). This information is essential for the core functionality of the dispatching service. If you wish to change our access or permissions, you may do so in your device's settings. Please note, disabling location services will severely impact the functionality of the App for drivers.

Mobile Device Data

Device information such as your mobile device ID, model, and manufacturer may be collected.

Uploaded Content

We collect photos and other media you upload to the App, specifically for the purposes of providing proof of delivery (POD) and bills of lading (BOL). We require camera and/or photo library permission to enable this feature.

3. Use of Your Information

Having accurate information permits us to provide you with a smooth, efficient, and customized experience. Specifically, we may use information collected about you via the App to:

• Create and manage your account within your company.
• Provide the core dispatching services, including assigning loads and tracking progress.
• Display your profile information to authorized users within your company.
• Monitor and analyze usage and trends to improve your experience with the App.
• Notify you of updates to the App.

4. Disclosure of Your Information

We do not share, sell, rent, or trade your personally identifiable information with third parties for their commercial purposes.

We may share information we have collected about you in certain situations. Your information may be disclosed as follows:

• By Law or to Protect Rights: If we believe the release of information about you is necessary to respond to legal process or to protect the rights, property, and safety of others, we may share your information as permitted or required by any applicable law.
• Within Your Company: Your information (e.g., name, location, dispatch status) will be visible to other authorized users within your registered company, based on their roles (e.g., an Administrator can view the details of their drivers).

We use administrative, technical, and physical security measures to help protect your personal information. We store passwords in a securely hashed format and use industry-standard encryption (HTTPS) for all data transmitted between the App and our servers. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable.

We will retain your personal information for as long as your account is active or as needed to provide you services and to comply with our legal obligations, resolve disputes, and enforce our agreements.

Our services are not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children under 18.
